CapSpecialty® is seeking an experienced, business-focused Mailroom Clerk to become a part of their Administrative Services team. While delivering service excellence, this position will be responsible for the mail processing and mail retention functions of the entire Company.

Duties & Responsibilities:

  • Manually sort the company's incoming and interoffice mail by office and department and scan it into the Company's computer system for electronic distribution.
  • Manually sort, label, and postmark the company's outgoing mail and ensure it gets shipped to the proper location in a cost-effective, timely, and efficient way.
  • Serve as the central point of contact and primary internal resource for questions and communications relating to the processing of the company's mail. Coordinate the timing of work breaks, trainings, vacations, and other time off with the other administration staff to maintain consistent mailroom operations.
  • Ensure procedures relating to mail processing and mail retention remain efficient and cost-effective.
  • Ensure all document scanners and multifunctional machines in the Middleton office remain operational and that routine maintenance and repair tasks get performed as needed.

Education & Experience:

  • High School diploma or equivalent.
  • Prior experience working in an office setting preferred.
  • Customer service experience preferred.
  • Previous mailroom/scanning experience preferred.

Essential skills:

  • Effective written and verbal communication skills.
  • Ability to operate office equipment such as scanners, computers, printers, copiers, and multifunctional machines.
  • Strong organization and time management skills; Accurate and detail oriented.
  • Ability to think critically, work independently, and maintain confidentiality and professionalism with superior interpersonal skills.
  • Proficiency with Microsoft Outlook and Excel and familiarity with other Microsoft office products.
