Responsibilities

  • Managing the Presidents email which includes: reading, organizing and drafting responses
  • Schedule meetings (professional and personal) and maintain the calendar with the ability to independently decide what is scheduled, and when, based on priorities
  • Screen phone calls; judge appropriately when and how to respond
  • Support other members of the Senior Leadership Team as needed with or without the inclusion of the President
  • Take minutes at meetings with or without Presidents attendance
  • Handle multiple projects and meet deadlines
  • Willingness to take initiative and ownership of projects, as needed
  • Ability to recognize and maintain the confidentiality of work materials
  • Assist other departments with projects such as continued research and other miscellaneous tasks in a moderate manner depending on Presidents needs
  • Create polished presentations and documents using Microsoft Products
  • Assist with Mergers and Acquisitions
  • Organize and Coordinate all corporate sponsorships
  • Assist Retail division with scheduling of events such as meetings, conferences, and departmental activities as needed.
  • Handle all company-wide communication from the President
  • Work closely with Executive Business Partner to CEO
  • Communicate as needed with the CEO and President regarding last-minute travel adjustments
  • Coordinating travel with the Executive Travel Coordinator (domestic and international)

Qualifications

  • 5-7 years administrative experience
  • 2 years or more supporting C-Suite executive(s)
  • Bachelors Degree
  • Extremely organized and detail oriented
  • Anticipate the needs of the President
  • Willingness to learn the business and insurance industry
  • Strong verbal and written communication skills
  • Desire to help with all tasks whenever needed team player mentality
  • Trustworthy and uphold confidentiality such as finances, banking and personal information
  • Computer Skills: Individual should be proficient using Microsoft applications including Word, PowerPoint and Excel. Ability to type at least 120 words per minute.
