This is an exempt position with a bi-weekly rate of pay. This position directly reports to the President and is responsible for planning, coordinating, managing and ensuring the successful execution of the company’s business operations, including but not limited to all office business support services, facilities management, logistical decisions, and correspondence, as well as the hosting of all business associates and business functions.
Essential Functions
- Completes all duties with a personable, professional and financial statement focused mindset.
- Coordinates and manages facilities and its daily activities including but not limited to security of building, parking permits, furnishings, scheduling use and maintenance of conference rooms/multi-purpose rooms, break rooms, restrooms and all other common areas.
- Ensures facilities are well maintained and representative of a professional office environment.
- Coordinates and manages the maintenance, inventory and distribution of all company office equipment, company office supplies and furnishings.
- Coordinates the creation and distribution of business and promotional collateral, such as financial reports, advertisements, mailers, business cards, customer gifts, etc.
- Coordinates staff’s travel requirements.
- Successfully establishes, negotiates and manages pertinent third party relationships.
- Manages all related expenses in an outstanding, intelligent and business minded fashion.
- Assists with, organizes and maintains all corporate records.
- Serves as the first point of contact for all building tenants and prospective tenants, handles all related communications in a manner that models the company’s expectations, Mission, Vision and Core Values. Independently and prudently handles all tenant issues, in concert with company-authorized lawyers, accountants and other business associates.
- Serves as a point of contact for the President and Chief Financial Officer, handling all communications in a manner that models the company’s expectations, Mission, Vision and Core Values.

Position Type and Expected Hours of Work
This is a full-time position. Though some flexibility in hours may be allowed, the employee must be available during the company’s regular business hours, Monday through Friday, 8:30am to 5pm and for additional time outside of regular business hours, to support the company’s business needs.
Travel
Occasional travel is expected for this position (e.g., pick up supplies).

Required Education and Experience
- Minimum 3 years of related work experience in a professional office environment.
- Minimum 1 year of management or supervisory experience.
Preferred Education and Experience
- College degree.
- 2 or more years of experience working at an insurance agency or company.
- 2 or more years of prior employment at a company with at least 50 employees.
