Position Overview:

The Concierge and Sales Operations Administrator provides administrative assistance to the Concierge and Sales Operations teams. This role requires the ability to multi-task, strong organizational and communication skills.

The Concierge and Sales Operations Administrator effectively and positively communicates on behalf of the Concierge Specialist and 2nd VP of Sales Operations with producers, policyholders and home office colleagues. Maintains open line of communication with the Concierge Specialists– keeping them proactively and appropriately informed.

The primary customers for the Concierge and Sales Operations Administrator include the 2nd VP of Sales Operations, Concierge Specialists, Sales Team, producers and their policyholders.

The Concierge and Sales Operations Administrator role has three key accountabilities:

  • To effectively communicate, facilitate and advocate on behalf of their primary customers with the Underwriting, Implementation, Billing & Issue teams;
  • To collaborate and ensure an efficient workflow process;
  • To expedite closure throughout workflow process.

Position responsibilities:

  • Sales Support Administrator will Assist Concierge Specialists in Salesforce maintenance.
  • Sales Support Administrator will Generate reports in Salesforce.
  • Sales Support Administrator will Process supply orders.
  • Sales Support Administrator will Follow up on additional information requests.
  • Sales Support Administrator will Provide support to the sales team on re-enrollments, NBOC’s and renewals.
  • Sales Support Administrator will Assist in RFP processing as needed.
  • Sales Support Administrator Provides post-implementation/installation, on-going support and problem resolution with primary customers and home office colleagues.
  • Sales Support Administrator Manages routine and ad hoc projects as assigned by the 2nd VP of Operations.
  • Sales Support Administrator Contributes to the Concierge Team to maintain a consistent high level of service excellence.
  • Sales Support Administrator Provides back-up support to the Concierge Specialists.

Qualifications:

Education: Bachelor’s Degree preferred.

Experience: Minimum 2 years of related experience required, preferably in the insurance industry.

Knowledge Requirements:

  • Excellent interpersonal skills and the ability to effectively build and extend relationships with diverse groups of people including producers, policyholders and employees.
  • Demonstrated ability to work effectively under pressure and within a collaborative team oriented environment.
  • Demonstrated proactive approaches to problem-solving with a strong decision-making capacity; demonstrated ability to take initiative with a “can do” attitude.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to context, substance and detail.
  • Excellent written/verbal communication and presentation skills.
  • Shows initiative with the ability to create and implement changes that will improve workflow.
  • Working knowledge of Boston Mutual Workplace Solutions or related industry distribution, products and services preferred.
  • Exceptional skills using MS Office.
  • Flexibility to work overtime may be required for this position.
