OPERATIONS SUPPORT DESCRIPTION:The operations support team manages the inbound document and outgoing mail process.

Inbound documents are received by our mail room, scanned and uploaded for a triage process to determine document type and thereafter allocated to the appropriate department for processing.

Once triage and scanning occurs documents can be managed electronically and in some instance travel direct to the processing department through our BPM (Business Process Management) system.

The operations support team completes fulfillment of Customer Service, Program Management and internal FOC team requests.

The support team manages the outbound mail inserting, postage and deliverable process.

GENERAL SUMMARY: Expected to perform all mail room and office administration duties in a fast paced, dead-line driven work environmentResponsible for maintaining records of mailings, supply inventory, and maintenance needsResponsible for maintaining relationships with mailing vendors to assist with bulk mailing needs and back-up servicesResponsible for maintaining adequate records/documentation for audit and internal control purposesOther responsibilities include routing mail, email, and other administrative support duties as assignedESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned as appropriate and necessary).

) Manage Outside Vendor Relationships Establish working relationship with all maintenance vendors (Pitney Bowes, Copy Pro, Boston Bean, etc.

) Create and maintain service request database showing frequency of services needed/ maintenance performed Manage Office Supply/Mailing Inventory Needs Create and maintain office supply laptop inventory spreadsheet Submit all office supply/mailing supply orders Ensure paper and check stock are readily available Assist in General Office Production Needs Assist with general filing needs of all projects Assist with scanning of all checks, EFT remittances, and other files onto network drives Help projects manage e-fax documents Other duties as assignedEDUCATION and/or PREVIOUS EXPERIENCE REQUIRED (include any required certificates, licenses and registrations): Education: High School or equivalent.

Experience: 2-4 years experience, preferably in a deadline driven environment.
