Job DescriptionSummary The Assistant will support multiple financial advisors with building and maintaining the company's book of business. This position is highly customer service oriented and will also be responsible for general office administration. Responsibilities Provide administrative support to the company by opening new accounts, answering client questions, detecting and resolving issues, updating accounts. Provide ongoing service to existing clients by efficiently completing requests. Prepare for client meetings, manage multiple calendars and prepare for all staff travel needs. Receive and process checks and update check blotter. Create and maintain client and firm files for compliance and auditing purposes. Research and resolve account discrepancies. Compose business letters and other correspondence as required to be e-mailed or mailed, some of which will be confidential in nature. Responsible for all office supplies, including copy/scanning machine, postal needs and fax machine. Act on behalf of the advisors by purchasing and selling securities within scope of authority. Qualifications Knowledge of various investment products i.e., stocks, bonds, mutual funds, equities and annuities, usually acquired through formal training or experience, to provide clients investment related information within scope of authority. In addition, applicant should possess the following: Ability to provide error free results. Excellent organizational, problem solving and communication skills. Ability to work in a team environment. Ability to function independently and proactively with minimal direct oversight. Expertise in opening a variety of accounts, including brokerage, advisory and insurance related accounts. Strong knowledge of Microsoft Word and Excel as well as internet search engines required. Knowledge of Redtail CRM a plus. Education, Training and Experience Bachelor s degree preferred. Minimum 3 years' financial services industry experience. FINRA licensing registration preferred or willing to obtain within a given time frame. Other Requirements Occasionally, may need to work beyond normal business hours.
